5.Information About Other Travelers

You may use Easy Arrival Online to provide information about another traveler, including a spouse, family member, child, travel companion, or member of a group application.

If you provide personal information about another individual, you confirm that you have appropriate authority to provide that information, that you have informed the other traveler about the processing of their personal information, that you have obtained any consent required by applicable law, and that in the case of a minor, you are their parent, legal guardian, or otherwise legally authorized to act for them.

6.Information Provided Before Payment

Easy Arrival Online may allow travelers to begin completing an arrival application before payment. We may receive and temporarily process certain personal, travel, or application information before a purchase is completed.

We may use this information to preserve your progress, operate the application process, provide technical support, prevent fraud, and where legally permitted, send application or checkout reminders.

Starting an application does not mean that you have purchased our paid service. Our paid manual review and submission service begins after successful payment.

7.Contact and Account Information

We may collect email address, telephone number, billing address, account information, dashboard credentials, customer support communications, and application-related messages.

We use this information to provide and manage our service, communicate with you, secure your account, and respond to requests.

8.Payment Information

Payments are processed through third-party payment service providers. We may receive information including transaction identifier, payment status, amount paid, currency, payment method type, and billing country.

Easy Arrival Online does not intentionally store complete payment card numbers, CVV/CVC security codes, or other complete card credentials on its own servers. Payment providers process payment information in accordance with their own privacy and security practices.

  • IP address, browser type and version, operating system, device type
  • language, referring website or URL, pages viewed, time spent on pages
  • date and time of access, website interactions, application funnel interactions
  • advertising campaign identifiers, cookie identifiers
  • approximate geographic location derived from IP address
  • diagnostic and security information

Where required by applicable law, non-essential cookies and similar technologies are activated only after appropriate consent has been provided.

10.How We Use Personal Information

We use personal information for legitimate, disclosed, and appropriate purposes.

10.1 — Service Delivery

We may use personal information to create your application, prepare arrival card information, manually review information provided by you, submit the relevant arrival declaration on your behalf, deliver confirmations and QR codes, and provide customer support. Every paid application is manually reviewed by a member of our team before submission.

10.2 — Sensitive Information

Some arrival declarations may require information considered sensitive, including passport information, health-related information, immigration arrival information, or customs-related declarations. We process such information only where necessary to provide the requested service and where an appropriate lawful basis exists.

10.3 — Customer Support

We may process personal information to respond to questions, assist with applications, investigate problems, process complaints and refund requests, and communicate about an active order.

10.4 — Payments, Accounting, and Administration

We may process information to process payments, collect and remit applicable government fees, issue receipts, manage orders, process refunds, prevent payment fraud, maintain accounting records, and comply with legal and financial obligations.

10.5 — Security and Fraud Prevention

We may use information to detect suspicious activity, protect user accounts, prevent fraudulent transactions, investigate abuse and chargebacks, and maintain security logs.

10.6 — Improving Our Services

We may analyze service and website usage to identify technical problems, improve our forms and application flows, and measure website effectiveness. Where required, analytics technologies are subject to the user's cookie choices.

11.Government Authorities and Application Submission

As part of our paid service, you instruct and authorize Easy Arrival Online to prepare and submit the relevant arrival declaration to the appropriate authority on your behalf.

Recipients may include immigration arrival authorities, customs authorities, border-control authorities, health authorities, quarantine or biosecurity authorities, and other competent governmental or public bodies involved in the relevant arrival process.

Once information has been submitted to a government authority, that authority may process the information independently in accordance with its own laws, systems, and legal obligations. Easy Arrival Online does not control the subsequent processing performed independently by a government authority.

12.Service Providers and Other Recipients

We may disclose limited personal information to trusted third parties where reasonably necessary to provide, secure, or operate our services, including:

  • Government authorities — for the preparation, processing, and submission of the requested arrival declaration.
  • Payment processors — for payment authorization, fraud prevention, government fee payments, refunds, disputes, and chargebacks.
  • Hosting and infrastructure providers — for secure operation of our website, databases, customer dashboards, and application systems.
  • Email and communication providers — for order confirmations, application updates, information requests, and customer support.
  • Analytics providers — to understand website usage and performance, subject to applicable consent requirements.
  • Advertising and attribution providers — including Google advertising, analytics, attribution, and measurement services, subject to applicable consent requirements.
  • Professional advisers — such as legal advisers, accountants, auditors, and insurers.
  • Law enforcement and regulators — where disclosure is required by applicable law, legal process, or court order.
  • Corporate transactions — as part of a merger, acquisition, financing, restructuring, or sale of assets.

We do not use passport numbers, passport documents, identity documents, health declarations, customs declaration content, or answers to government arrival forms for advertising profiling. We do not intentionally transmit such sensitive application content to advertising platforms for advertising purposes.

13.We Do Not Sell Passport or Application Data

Easy Arrival Online does not sell passport information, identity documents, arrival-application information, health-related declaration information, customs declaration information, or answers provided for government arrival forms.

We do not use these categories of information to create behavioral advertising profiles.

Website usage data processed through cookies or advertising technologies may, under certain privacy laws, fall within legal definitions such as targeted advertising, sharing, or cross-context behavioral advertising. Where applicable, users may exercise relevant opt-out rights through our cookie or privacy settings or by contacting us.

14.Marketing Communications

Transactional communications — We may send communications necessary to provide your service, including order confirmations, payment confirmations, requests for additional information, application status updates, submission notifications, document-ready notifications, and customer support messages. These communications may be necessary to perform the service and are not promotional marketing.

Marketing communications — We may separately send promotional communications where permitted by applicable law. Where consent is legally required, we will obtain appropriate consent. Marketing emails will include a method to unsubscribe. Unsubscribing from marketing does not prevent us from sending necessary transactional communications relating to an active order.

15.Abandoned Applications and Checkout Communications

Where legally permitted, we may use contact information provided during an application or checkout process to send reminders relating to an incomplete application or transaction. Where applicable law requires consent for such communications, we will only send them after obtaining appropriate consent.

Users may opt out of applicable promotional reminder communications using the unsubscribe mechanism provided.

16.Cookies and Similar Technologies

Easy Arrival Online uses cookies and similar technologies, which may include technologies used for essential website functionality, session management, account authentication, fraud prevention, security, saving preferences, analytics, conversion measurement, and advertising attribution.

Where required by applicable law, analytics and advertising technologies will not be activated until the user has made an appropriate consent choice. Cookie preferences may be managed through our cookie-management interface.

For additional information, please review our separate Cookie Policy.

17.Advertising and Google Services

We may use Google products and similar services for purposes including analytics, advertising, conversion measurement, campaign attribution, and understanding website performance.

We do not use or intentionally transmit passport documents, passport numbers, identity documents, government-form answers, health declaration answers, customs declaration answers, or other sensitive arrival-application content to Google Ads or other advertising platforms for behavioral advertising or advertising profiling.

Where required by applicable law, advertising and analytics technologies are subject to user consent and applicable privacy controls.

18.Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, customer-support, fraud-prevention, accounting, legal, security, and dispute-resolution purposes.

Passport documents and arrival application information are retained only for as long as reasonably necessary to prepare and submit the requested arrival declaration, deliver the resulting confirmation or QR code, provide customer support, process corrections or resubmissions, resolve disputes, prevent fraud, and comply with applicable legal obligations. We seek to delete, anonymize, or securely dispose of sensitive application information when it is no longer reasonably required.

Order, billing, tax, payment, and accounting information may be retained for the period required by applicable tax, accounting, financial, or legal requirements.

Marketing preferences may be retained until consent is withdrawn or the individual unsubscribes. We may retain minimal suppression records after an unsubscribe to ensure that the preference continues to be honored.

19.Data Security

Because our services may involve sensitive identity and travel information, data security is important to us. We maintain technical and organizational safeguards designed to protect personal information against unauthorized access, unauthorized disclosure, alteration, destruction, misuse, and loss.

Safeguards may include encrypted HTTPS/TLS communications, access controls, restricted staff access, authentication controls, need-to-know access principles, secure infrastructure, payment processing through specialized payment providers, and security monitoring.

No website, database, information system, or internet transmission can be guaranteed to be completely secure. We therefore cannot guarantee that unauthorized access or security incidents will never occur.

20.International Data Transfers

Easy Arrival Online is operated by a U.S. company and provides services relating to international travel. Your information may therefore be processed in countries other than your country of residence, including the United States, the country to which you are traveling, and countries where our service providers operate.

Where required by applicable data protection law, we seek to use appropriate mechanisms for international transfers, including adequacy decisions, Standard Contractual Clauses, UK international data-transfer mechanisms, or other recognized contractual or legal safeguards.

21.Your Privacy Rights

Depending on your country, state, or territory of residence, you may have legal rights concerning your personal information, including:

  • access personal information and request a copy
  • correct inaccurate information
  • request deletion
  • request restriction of processing
  • object to certain processing
  • request data portability
  • withdraw consent where consent is relied upon
  • opt out of marketing, targeted advertising, or certain sharing of personal information
  • appeal certain privacy decisions where applicable

We will not unlawfully discriminate against an individual for exercising an applicable privacy right. Requests may be submitted to [email protected]. Because our services may involve sensitive identity and passport information, we may need to verify your identity before responding to certain privacy requests.

Easy Arrival Online does not use passport documents, passport numbers, identity documents, health declarations, customs declarations, or government arrival-form responses to create advertising profiles.

Requests may be submitted to [email protected]. Cookie and advertising preferences may also be managed through our cookie-management interface.

25.Children and Minors

Our paid service is intended to be purchased by adults with legal capacity to enter into a contract. However, arrival applications may include personal information about minors.

We process information relating to a minor only where it is provided by a parent, legal guardian, or other person legally permitted to act for the minor. Information relating to minors is processed only as reasonably necessary for the relevant arrival application and related services.

We do not knowingly use children's passport, identity, or arrival-application information for advertising profiling. If you believe that information about a minor has been submitted without appropriate authorization, please contact [email protected].

26.Automated Tools and Human Review

Easy Arrival Online may use automated technologies to assist with operational processes, including technologies used to identify incomplete fields, detect formatting inconsistencies, identify potential errors, detect fraud, route applications, and measure website performance.

Every paid application is manually reviewed by a human member of our team before submission to the relevant authority.

Automated systems used by Easy Arrival Online do not make border-entry decisions, customs decisions, immigration admission decisions, or governmental decisions. Any governmental decision remains exclusively under the control of the relevant authority.

If a traveler identifies an error or change in information provided to Easy Arrival Online, we may process corrected information to prepare a correction or replacement submission where the relevant government system permits it.

If Easy Arrival Online identifies or causes an error during preparation or submission, we may process the relevant information again to correct or resubmit the arrival declaration. Such processing is performed for purposes including providing the purchased service, correcting an application, resubmitting an arrival declaration, and providing customer support.

28.Data Breaches and Security Incidents

If we become aware of a security incident involving personal information, we will investigate the incident and take appropriate measures designed to contain the incident, mitigate potential harm, remedy relevant vulnerabilities, and prevent recurrence where reasonably possible.

Where applicable law requires notification to affected individuals or regulatory authorities, we will provide such notifications in accordance with applicable legal requirements.

29.Third-Party and Government Websites

Our website may contain links to official government portals, payment providers, airlines, travel services, and other third-party websites. These websites are operated independently.

Easy Arrival Online does not control the privacy practices, terms, security, or processing activities of independent third parties or government authorities. Users should review the privacy policies of those services before providing information to them.

A link from Easy Arrival Online to an official government website does not mean that Easy Arrival Online is affiliated with, endorsed by, sponsored by, or operated by that government.

30.Government Non-Affiliation

Easy Arrival Online is an independent private paid arrival card assistance service. We are not a government website, government department, government agency, immigration authority, customs authority, border authority, health authority, quarantine authority, consulate, embassy, or official government representative.

We are not affiliated with, endorsed by, sponsored by, or operated on behalf of any government authority. We do not claim government endorsement, sponsorship, partnership, or affiliation.

Where travelers can complete an arrival card or arrival declaration directly through an official government portal, they remain free to do so without purchasing our paid assistance. Where the official process is free of charge, travelers may complete it through the relevant official government channel at no cost.

Our private service fees compensate Easy Arrival Online for guided completion, human review, error checking, preparation, submission on the traveler's behalf, customer support, corrections or resubmissions, and delivery or access to resulting confirmations or QR codes.

31.Government Branding and Identity

Easy Arrival Online does not present itself as an official government website. We do not use government logos, seals, emblems, official government branding, or similar visual elements for the purpose of presenting our private service as a government service.

References to countries, government systems, arrival cards, authorities, or official websites are used only to identify or explain the relevant destination or arrival process. Such references do not imply government affiliation, endorsement, sponsorship, or partnership.

32.No Visa or Immigration Legal Services

Easy Arrival Online provides services relating exclusively to arrival cards and arrival-related declarations. We do not provide visas, eVisas, electronic travel authorizations, residency applications, immigration legal advice, legal representation, or immigration consulting.

Our service should not be interpreted as legal or immigration advice. Travelers remain responsible for determining whether they require any separate visa, travel authorization, passport validity, vaccination, insurance, or other entry requirement applicable to their trip.

33.Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, destinations supported, technology, legal obligations, regulatory requirements, service providers, or privacy practices.

The most recent version will display the updated date at the top of this page. Where legally required, we may provide additional notice regarding material changes.
